Office Administrator

A day in the life of an Office Administrator at Gray & Fick would resemble:

  • Attend a stand-up meeting with your scrum team to discuss yesterday’s challenges and plan for the day’s tasks

  • Overseeing general office operation.

  • Greeting visitors, answering a high-volume of incoming phone calls and delivering world-class service to our customers.

  • Coordinating appointments and meetings and managing staff calendars and schedules.

  • Coordinating travel, including flight, hotel, and car rental reservations.

  • Purchasing office supplies and equipment and maintaining proper stock levels.

  • A daily break for a game of table tennis or foosball (if inclined)

  • Attend one of Gray & Fick’s group events such as potlucks, lunch & learns, book club, etc.

  • Participate in one of Gray & Fick’s charity causes such as blood drives, toy drives, food drives, or seasonal in-house charity events

  • Managing timesheet program (CORE)

  • Coordinate with bookkeeper with respect to payroll (hourly employees, new employees & outgoing employees)

  • Assisting other departments as required

  • Special Projects

  • Supervising, mentoring, training, and coaching our office staff and delegating assignments to ensure maximum productivity.

  • Other duties as assigned/required

  • At the end of the day, it is commonplace for our leadership to send staff members home to ensure work-life balance

Minimum Skills, Qualifications & Experience

  • ​College degree preferred

  • Previous experience in an Administrative Support role

  • Extremely organized and detail oriented

  • Critical thinking and problem solving

  • Ability to work independently

  • Knowledge of Microsoft Office

  • Previous experience with Microsoft Business Central an asset

  • Strong verbal and written communication skills

  • Creativity and innovation in finding solutions

  • Fluent in English
